Delivering consistent corporate photography across a single office can be straightforward. Delivering them across 14 office locations in 8 countries within 24 hours requires a completely different level of coordination.
For this global corporate photography project, Shootday partnered with XERO to organize professional employee headshots across offices in North America, Europe, Asia, Africa, and Oceania. The assignment brought together locations spanning from the United States to New Zealand, all operating under one coordinated production plan.
Each office had different employee numbers, scheduling requirements, and operational needs. Despite these differences, the objective remained the same: provide employees with a professional, consistent headshot experience and deliver images that maintained a unified corporate identity across the entire organization.
In selected offices, the scope extended beyond headshots to include corporate event photography, documenting activations, meet-and-greets, and social interactions alongside the portrait sessions.
Shootday coordinated the global production, photographer assignments, location-specific schedules, and consistent photography requirements, allowing the client to manage a complex international project through one production partner.
Project: Global Corporate Headshot and Event Photography
Client: XERO
Shoot Date: April 15
Coverage: 14 Office Locations Across 8 Countries Within 24 Hours
Regions: North America, Europe, Asia, Africa & Oceania
Services: Corporate Headshots & Event Photography
Production: Coordinated local photography teams, including multi-photographer setups at selected offices

The client’s objective was ambitious: organize professional employee headshots across 14 international offices within a single 24-hour period, while ensuring every location received the same quality of service and consistent final imagery.
The geographical scale introduced significant logistical complexity. The offices were spread across eight countries and multiple time zones, with different employee populations, office environments, schedules, and photography requirements.
A headshot taken in London needed to follow the same visual standards as one captured in Singapore, New York, Melbourne, or Johannesburg. The final photographs had to feel like part of one unified corporate collection rather than the work of unrelated photographers operating independently.
Key objectives included:
The challenge was not simply finding photographers in each location. It was ensuring that 14 separate office shoots operated as one coordinated global production, with consistent standards, clear communication, and reliable execution.
Shootday developed a coordinated international photography plan built around centralized project management, local photographer deployment, standardized headshot setups, and location-specific scheduling.
The production was managed through one point of contact, allowing the client to coordinate all 14 locations without dealing separately with multiple photography providers.
Coordinating these locations within 24 hours required a production structure that could accommodate different local working hours, employee schedules, and office environments.
Shootday’s centralized coordination approach focused on:
This approach allowed the project to operate as one global photography assignment rather than 14 independently managed shoots.
Visual consistency was one of the most important requirements.
Every headshot station followed a defined photography setup designed to produce professional, cohesive employee portraits regardless of the office location.
These shared production standards were essential to achieving the client’s goal of one cohesive global employee portrait collection.
Although the visual requirements remained consistent, the operational needs varied between locations.
Some offices required a single headshot photographer, while others needed multiple photographers working simultaneously to accommodate larger employee groups.
For example, the Milton Keynes office in the United Kingdom was scheduled with one photographer operating a dedicated headshot station.
At larger locations, including New York, Wellington, and Melbourne, the production expanded to three photographers:
This flexible staffing model allowed Shootday to adapt to individual office requirements while maintaining the same core photography experience.
At selected locations, the assignment went beyond individual employee portraits.
In New York City, Wellington, and Melbourne, the client required additional event coverage alongside the headshot sessions.
These offices used a three-photographer setup, with two dedicated headshot stations and one photographer focused on documenting the wider office experience.
For each of these event-coverage locations, the brief specified 70 edited event photographs, in addition to the two retouched headshots per employee.
By coordinating these different photography requirements within the same global project, Shootday demonstrated its ability to manage multiple production formats simultaneously across international offices.
Beyond the photography itself, a major factor in the project’s success was the coordination required before and during the shoots.
With 14 locations involved, the client needed clear communication, reliable scheduling, and confidence that each office’s requirements would be handled correctly.
Shootday’s project coordination was led by Mateo, who worked closely with the client to manage the varying requirements across locations.
This included:
Rather than managing numerous independent photographers and vendors, the client benefited from one coordinated production process across eight countries.
Shootday successfully coordinated corporate headshot photography across 14 global office locations in 8 countries within a 24-hour period, delivering a consistent photography experience across multiple continents.
Despite differences in office sizes, employee numbers, schedules, and local requirements, the project maintained a unified approach to headshot photography through standardized equipment requirements, framing, lighting, and final deliverables.
The scope also demonstrated the flexibility of Shootday’s global production network. Smaller offices could be supported by individual photographers, while larger locations benefited from multiple simultaneous headshot stations and dedicated event photography.
The project delivered several important benefits:
Most importantly, the project demonstrated that large-scale global corporate photography can be managed with the consistency of a single-location shoot, even when the production spans multiple continents.
We recently partnered with Shootday to deliver headshots across 14 of our global office locations within a 24-hour period, and the experience was outstanding from start to finish.
Each location had different requirements, varying employee numbers, and unique scheduling needs, which could have easily become complex. Mateo managed the entire process seamlessly. He was incredibly patient, highly responsive, and consistently proactive, ensuring every detail was captured and nothing was missed.
Communication throughout was clear, timely, and thoughtful, which made a huge difference when coordinating something at this scale. Mateo’s support gave us complete confidence, and he went above and beyond to make sure everything ran smoothly across all locations.
The execution on the day was just as strong, with each site running efficiently and delivering a consistent, high-quality experience.
It was an absolute pleasure working with Mateo and the Shootday team. I wouldn’t hesitate to recommend them for any large-scale or multi-location project.
